Clean out and Archive Box + Drive folders

Purpose

Declutter and archive project folders in Box + Drive. Make it easy to find data and deliverables in the future.

Directions
  1. ForNavigate both programs, go through allto the projectproject's subfoldersfolder andin deleteBox unusedor templates,Drive.
  2. non-final
  3. Check drafts,the non-project-specificfolder’s documentsorganization. The structure should look like this:
    • Client
      • Project (e.g., Project"workplace Alignmentresearch") bannerYear headers), and empty folders.  
          • InPhase Box,
            • Sub-phase where appropriate. Common sub-phases include: Deliverable, Meeting, Materials, etc. Use your judgement where it makes sense to create subfolders. 
  4. Delete unneeded files. These include:
    • Unused templates
    • PDFs of workshop materials
    • Drafts of deliverables (usually marked with a version number)
    • Print PDFs of deliverables
  5. Keep useful files:
    • INDD files
    • AI files
    • final PDF of each deliverable
    • raw data
    • analysis files + notes
    • secondary research 
    • client files (like floorplans)
    • when in doubt, don't delete
  6. Move the PDFfinal version of docsdeliverables into the top-level of the deliverable folder. Create a folder called "Assets" and onlymove keepall thesupporting finalfiles Indesign(images, document.etc.)

  • Once you have emptied and clearedMove the subfolders,client movefolder containing the Projectproject Folderfolders to the pastPast Projects folder. 
  • When completed, mark the task Done in Wrike.
