Leader Kickoff Meeting

Purpose

To bringInvite leaders (Directors,to VPs,participate etc.) into the research process early so they:

  • Understand what DORIS is doing and why.

  • Provide insights about their teams and organizational priorities.

  • Champion participation and model engagement for their staff.

Each leader attendsin a 1:1 45-minute meeting withto a DORIS researcher:

  • First 15 minutes: Orientation — introducereview the project,project clarify objectives,overview and discuss how their teams can best engage.

    • Next 30 minutes: One-on-one interview — follow the project’s leader interview protocol so they experience DORIS’s approach firsthand.them.

Interdependencies

  • Timeline for Director/VP Kickoffs established in project plan.

  • Leader interview protocol finalized.

  • Client liaison identified to approve communication.

Directions
  • Draft the Email Invitation
    • Use the template below and edit it to reflect project-specific context, tone, and client details.
    • Keep it concise, clear, and aligned with the DORIS brand voice.
  • Send for Internal Review
    • Share the draft with the Ops Manager for approval and refinement.
  • Send for Client Review
    • Ops Manager sends the draft to the client liaison for final approval.
    • Incorporate any requested edits.
  • Disseminate Invitations
    • Client liaison sends invitations to leaders or adds a meeting to their calendars.
  • Track Attendance & Notes
    • Confirm attendance for all leaders.
    • Ensure each session includes both the orientation and the interview component.

  • Create the Leader Orientation Meeting Notes file

    • From the New Project Folder, duplicate the standard Leader Orientation Meeting Notes template.

    • Make a Copy and Rename: [Client Name] Leader Orientation Notes

    • Save notes in Google Drive: 2 - Projects/[Client Folder]/2 - Project Orientation

    • Customize sections (see Template Fields in the link below) to align with the project's goals, phases, and terminology.

    • Owner: Ops Manager.

    • Reviewer: Lead Project Strategist (LPS) confirms fields capture all needed info.

  • Run the sessions

    • Follow 15/30 flow. Capture notes live in the customized template.

      • All responses for the 30-minute interview will be captured in Question Pro.
  • Track + follow-ups

    • Log attendance, decisions, and action items.

    • Convert action items into the working tracker/Wrike as needed.
