Clean out + Archive Box and Google Drive Folders 

At the project conclusion, the folders are cleared out/archived for the purpose of organization and limiting of duplicative files. Delete any folders that are empty or only contain non-project specific files (e.g., templates). 

Box:
  1. Delete earlier versions of PDF and InDesign drafts, keeping the final InDesign version and the print and interactive versions of the finalized PDFs. 
  2. If interview and survey data was pulled more than once, delete the partial data sets. 
  3. If there are subfolders that just open to another singular subfolder, move the files out of the secondary subfolders
  4.  After the folders have been cleaned/organized, move the project folder to either All Files > 2 - Projects > Research > Current Year folder or the 2 - Projects > Assessment > Current Year folder. 

How to move / delete Box files + folders 

Drive: 
  1. Delete unused / non-project specific documents from Drive by clicking the three dot menu on the far right side of the file/folder and select Move to trash 
  2. If there are subfolders that just open to another singular subfolder, move the files out of the secondary subfolders

How to move / delete Google Drive files + folders

Archive Slack channel 

To reduce digital clutter, we delete the project Slack channels at completion, IF there is no continuing work that the VP of Ops or the Project Strategists are engaging in. An example of this is the ongoing presentations and meeting facilitation for ITCC Statewide. One cannot undo a channel deletion, so ensure there are not ongoing project-specific conversations before deleting. 

To delete Slack channels: 
  1. Click on the channel and at the top, select get channel details. A menu will pop up
  2. Select setting on the top menu bar on the pop up
  3. Click Archive Channel for Everyone 
  4. On the warning pop-up, click Archive Channel for Everyone
