Start + Plan
DORIS facilitates stakeholders in creative problem solving, responding directly to the challenges identifed in Challenge Defining. The Solutioning Workshop (a.k.a. Solution-Defining Workshop, Idea Generating & Rapid Prototyping Workshop, Solutioning Session, etc) provides insight into the solution criteria that are important to stakeholders in solving for challenges in there workspace/workplace experience.
Start
Confirm Logistics for Solutioning Workshop
- The Operations Manager confirms the logistics for the Solutioning Workshop(s) with the liaison.
- Rule of Thumb: Workshops should have no more than 30 people per session. (Example: For a project with a Masterlist stakeholder count of 85, DORIS should offer at least 3 workshops)
- Logistics can be confirmed along with the planning of other key engagements.
- Upon confirmation, add details to the Project Charter, Ops Logistics, and send Calendar invites to the Facilitator
Solutioning Workshop(s) Logistics
- Date(s) + Time(s)
- We need 90 minutes for this session!
- Location
- This workshop is much more successful and engaging in-person.
- If virtual is required, we can make it work via Mural
- A hybrid workshop requires a two facilitators, one for the in-person folks and one for the virtual folks. Hybrid Solutioning workshops are not ideal.
- Attendees
- Confirm how many people are attending and communicate to Facilitator.
Plan
Prepare Agenda + Tools for Solutioning Workshop
- The Project Strategist creates the agenda for the Solutioning Workshop
- The agenda and tools can be started at any time, but the prompts require completion of the Challenge Defining Meeting, or, for Assessments, completion of the Challenge Defining analysis.
Create the Solutioning Workshop Agenda
Creating the agenda is as easy as copying from a template and adapting to fit the project.
- Open template from link above, make a copy and Save As, changing the file name to match the project and saving in the Solution Seeking Folder in the correct project file in Google Drive.
- Edit the Title and Logistics at the top
- Write between 4-6 How Might We Questions.
- Define any parameters or guideposts and the desired outcome---what kind of ideas are we/leadership looking for?
Prep Tools & Supplies
- The project strategist creates the tools and packs supplies for the workshop.
- Difference between tools & supplies:
- Tools are the created materials needed for the workshop. The tools are worksheets, prompt banners and any other materials designed and printed. (Typically, everything can be printed in-house)
- Supplies are the gathered materials needed to support methods in the workshop such as Sharpies, Post-It Notes, DORIS Toolbox, etc.

Process for adapting tools from templates:
- Open the template (linked above), make a copy, and save as using the name of the organization and the type of tool in the Solution Seeking Folder in Box for the correct project.
- In the new saved file, ensure that ORGANIZATION is changed to the organizations actual name.
- Adapt content as needed
- Save As and send to Project Lead for review on Slack.
