Conduct meeting with project team and maker

The ops manager contacts the graphic designer with outline of work and logistics. 

In the maker meeting, the research lead meets directly with the maker to go through the content and expectations for making. 

Checklist for Maker meeting prep:

  • Content is written
  • Figures are included as comments with a link to the file in box.
  • The comments for figures includes the figures title and description
  • Template is updated and ready for maker

Send Challenge Defining content to maker

The Ops Manager sends the maker (if external) all content and supporting information needed to make the document.

Make document

Make the document using the 23 All Sections.indd template

Review and approve document 

  • Respond to maker comments
  • Check for pink text (missing or confusing information)
  • Review for writing styles (DORIS Writing Guide 2023)
    • All figures and quotes make sense in the narrative
    • Spelling
    • Grammar
    • Citations + Endnotes
  • Review for DORIS visual styles

Once the grammar, spelling, and visual style review is complete, a member of the DORIS Leadership team must perform the final review.

Finalize Challenge Defining document

Once all comments are incorporated, the Project Lead sends the final version of the document to the Ops Manager to send to the client liaison. (See Send Challenge Defining document to liaison to distribute prior to Leadership Meeting)

 

Coordinate with printer (as needed)

Note: At least 2 days are required to build documents for presentation. Otherwise, use FedEx.

Printing at DORIS:

To print at DORIS (only if we have >= 2 days until presentation)

      • Utilize 32 lb paper

      • Print from InDesign file

      • Print settings:

        • Single sided
        • Media Type - high quality plain paper

        • Quality - best

        • Reverse order (on Macs)

      • To print the document title page:

        • Utilize card stock from the Maker Room

        • Print from InDesign or PDF

        • Print settings:

          • Media Type - heavyweight or card stock

          • Quality - best

        • Utilize rear tray to reduce page bending

To print at FedEx (usually finishes within an hour or two despite the times online):

Scribe is available (here) for a step by step walkthrough. For a brief overview:

      1. Navigate to FedEx Printing

      2. Select correct parameters:

        • Print Color: Full Color

        • Paper Type: Laser (32 lb.)

        • Sides: Single-Sided. 8.5x11in

        • Quantity: However many copies are needed

      3. Upload PDF version of file

      4. No other adjustments need to be made

      5. Add to cart

      6. Review cart and add FedExOffice Account #: 06147053960001

      7. Proceed to checkout and select a store for pickup.
